Housecall Pro and QuickBooks
Native sync for invoices, customers, line items and payments. The deepest integration Housecall Pro ships, and the one with the most ways to go quietly wrong.
What the connection does
- Invoices, customers, line items and payments push from Housecall Pro into QuickBooks.
- It runs in one direction in practice: Housecall Pro is the system of record and QuickBooks receives. Changes made in QuickBooks do not flow back.
- Both QuickBooks Online and QuickBooks Desktop are supported, through different mechanisms.
- Updates in Housecall Pro reach QuickBooks without re-entering them, though a manual push is sometimes needed to trigger the refresh.
What catches people out
Tax rate names must match exactly, including trailing spaces
The tax rate in Housecall Pro and the one in QuickBooks have to be identical: spelling, capitalisation, punctuation, and any stray space on the end of the name. A single trailing space is invisible in both interfaces and stops the sync. If invoices are failing for one tax rate and not others, check this before anything else.
Only two levels of customer come across
Housecall Pro imports parent customers and their first level of sub-customers from QuickBooks. Third-level sub-customers, and every invoice attached to them, are not imported at all. Property-management and multi-site books are where this bites, and nothing announces that the rows were skipped.
A silent sync failure looks like a slow month
When invoices stop syncing, the symptom is a revenue figure in QuickBooks that is lower than the one in Housecall Pro. Nobody notices until reconciliation. Compare invoice counts between the two systems on a schedule rather than waiting for the gap to be large enough to feel.
What the integration does not do
The sync moves invoices; it does not tell you which invoices are wrong before they move. Pulling your invoices with their line items, taxes, discounts, payments and refunds lets you reconcile a period and flag the ones whose numbers do not add up first.
