Estimate Follow-Up
Works your estimate book the way a sales manager would: the approved options nobody scheduled, the quotes no customer answered, the ones that silently expired, and the declined ones worth one more try - ranked by money, each with a follow-up message drafted in your own voice. You send; it never does.
The problem
An estimate book leaks in three places. Options a customer already approved sit unscheduled - won money, standing still. Quotes nobody answered go quiet, and past the expiry date Housecall Pro lapses them without telling anyone. And declined work is abandoned forever when a season change would reopen half of it.
On a real book, the silent-expiry pile alone can be two thirds of everything unanswered - quotes the customer could not act on even if they wanted to, and nobody knew.
What it gives you
- Every open-looking estimate is checked against your jobs AND their notes before it is called open - canceled jobs count as evidence (the note beside one usually tells the whole story), a job whose total matches the option to the dollar answers its estimate, and finished work lands in a housekeeping list, never in the queue.
- What survives every check leads the report, framed as the question it is: approved options where the work could not be found anywhere - with the evidence laid out, so a row you recognize gets answered in a word.
- The unanswered queue ranked by money, cadence-annotated from your own follow-up rhythm, with the silently-expired broken out and marked re-send first - an expired option is not actionable until Housecall Pro re-sends it.
- A follow-up message drafted per customer - one message even when several estimates are open - in your voice, from a two-minute interview it remembers on your machine. You edit and send from your phone, email, or Housecall Pro; nothing is ever sent by the skill.
- Declined door-openers only where a real reason to revisit exists, and a keep-the-door-open draft to match.
- Customers carrying a do-not-contact signal are listed, not drafted - the estimate stays visible, the message does not get written, the reason is shown.
- Estimates older than ninety days move to an archive line instead of the queue - chasing a January quote in August reads as automation, and the reply rate says so.
What you need
| Tier | API Key Required |
|---|---|
| Reads | The MCP |
| Needs | The free MCP plus a Housecall Pro MAX-plan API key you generate. A read-only key is enough. |
| Re-run | Weekly. Estimates age fast, and the same silence starts again tomorrow. |
Your first ask
Once it is installed, this is the literal thing you type:
What it cannot do
- It cannot send anything. Housecall Pro's public API has no route that sends a message to a customer - a limit of their API, not of this tool. You deliver every draft.
- It deliberately never changes an estimate: no approving, declining, scheduling, or re-sending on the customer's behalf, ever.
- It cannot see Housecall Pro's Do Not Service checkbox; no integration can. Readable suppression signals are unioned and shown.
- A job at the same property can hide a separate open quote; the housekeeping list shows each job's state beside the estimate it answered, so a row that does not belong there comes back into the queue with a word.
- Requires the MCP (v1.15 or newer) and a MAX-plan API key. A read-only key is enough.
Updates
Every purchase includes all future updates to this skill. Your book decays continuously, so the same job is worth doing again, and each version gets better at it.
The skill checks this site for a newer version when it runs. That request carries the product name and the installed version, and nothing else. There are no account details, no data from your book, no telemetry of any kind. If the check fails for any reason it says nothing and carries on.
Buying it
Sold in the Quote to Cash pack: $49 one time at half price while the shelf is new for all 3 skills in it. The pack is the unit because a home service company that needs this one usually needs the rest of it the same week. What is in the pack. Lifetime is $149 and covers every pack on the shelf plus every skill added to any of them afterwards.
Questions about whether this fits a particular book go to hello@hcpapi.com , including the question of whether it is worth buying at all.
